Carefree Motorhomes Rental Terms for travel between 01-Jan-2009 and 18-Dec-2010
The following are the Conditions of Hire between the Hirer and Carefree Motorhomes (the Company) The motorhome and its equipment remains the property of Carefree Motorhomes at all times.
The Hirer
Undertakes to keep the vehicle securely locked at all times when unattended and to refrain from any action or omission which may prejudice Carefree Motorhomes rights to the vehicle.
• Shall not allow the vehicle to be driven by anyone other than those authorised by Carefree Motorhomes.
• Shall not lend or hire the vehicle to a third party.
• Shall not create a lien on the vehicle for repairs or any other reason.
• Shall not tow any trailer or vehicle with the vehicle.
• Shall not carry more passengers than the permitted capacity of the vehicle or allow the vehicle to exceed the permitted Gross Vehicle Weight.
• Shall not use the vehicle for carriage of goods for hire or reward.
• Shall not move the vehicle without our written consent out of the UK mainland.
• Shall not use the vehicle for or in conjunction with any race, competition, trial or for hire or reward or on non-metalled roads.
• Shall not permit smoking in the motorhome.
Rates
Our rental prices are fully inclusive of VAT, unlimited mileage and 24 hour breakdown assistance in the UK. The rate excludes insurance as the rate is based on the primary driver's licence. There is a slight additional cost if the primary driver is using a non-uk licence, has an occupation deemed by our insurer to be high risk or has endorsements. Insurance can also be provided for a maximum of two additional named drivers at a cost of £4.00 per day.
The Driver
No one other than the drivers named in the Motor Rental Agreement may drive the hired vehicle. All named drivers must be over 25 and under 75 years of age and have held a valid UK licence, other National Licence or an International Driving Licence for at least three years. All licences must be free of endorsements except for parking and minor speeding offences and must be produced for inspection upon commencement of hire. In the case of UK photo-card licences, you must produce both the card and the counterpart licence. Drivers with any history of endorsements within the last nine years, history of accidents, physical/mental defects, refused motor insurance record and motor convictions may have to pay an insurance surcharge. Non-UK licence holders may have to pay an insurance surcharge. Personal photo identification such as a valid passport and confirmation of address in the form of a recent utility bill or a bank/building society statement must be produced by the Hirer and main driver for inspection upon commencement of hire.
• Shall be between 25-75 years of age
• Shall have held a valid full licence for at least three years with no history of disqualification or accidents or have been refused insurance.
• Shall provide two forms of identity a photograph and a utility bill.
Insurance
International Drivers licence holders Insurance, Breakdown and repatriation cover is available at a cost of £15.00 per day.
UK DriversInsurance breakdown and repatriation cover is also available at a cost of £15.00 per day.
Additional Insurance for European Travel is £12.00 per day.
Additional Insurance for Irish Travel is £18.00 per day.
The Motor Rental Agreement is subject to and is deemed to include the terms, conditions, and limitations of the Company’s insurance policy, a copy of which may be inspected at the Company’s office. Any vehicle hired under this agreement may only be driven by the Hirer who has been accepted by the Company and our insurance Company. Even though it may be covered by the Company’s insurance the Hirer shall be liable to pay the cost of repair of any damage which the vehicle may suffer as the result of the wilful or negligent action of the Hirer. The Hirer will compensate the Company for any loss which it may suffer as a result of any act or omission on the part of the Hirer or his servant or agent. Excluded from insurance cover is:-
• Windscreen and windows.
• Loss/damage/theft to the tv, radio, stereo equipment, and aerials.
• Interior damage including burns to seats, carpets, and other damage.
• Vandalism damage of any kind to the vehicle.
• Personal effects within or from the vehicle.
• All overhead damage resulting from any incident. Overhead damage is defined from ground to in excess 6’0 height from the ground
Damage
There is a £950 refundable damage deposit payable in advance for any damage or loss for any one incident resulting in damage whilst the vehicle is on hire to you or in your care. If the vehicle is returned in good condition with a clean interior, whole and undamaged and there are no other extra charges the deposit (subject to inspection) will be refunded within 7 working days. Should the condition of the vehicle be otherwise, then repairs, replacements or cleaning costs will be charged against the damage deposit. If the vehicle is damaged even where no other vehicle was involved or was involved the full deposit of £950 is payable by the Hirer. Front and rear bumpers, overcab mouldings, rooflights, windows, wing mirrors and external doors are typical components prone to damage.
Theft
The Hirer is totally responsible for the security of the vehicle. The Hirer must ensure that if the vehicle is left unattended at any time that it is securely locked and parked in a safe, well lit location. The Hirer must take every precaution to prevent loss from or theft of the vehicle. Do not leave the vehicle in a vulnerable location or unlocked at any time, always remember total liability is with the Hirer if you do not adhere to the above.
Breakdown
In the unlikely event of a breakdown or an accident an emergency service is at the disposal of the Hirer. The Hirer is authorised to spend up to £50 on minor component replacement i.e. bulbs, hoses and belts but not authorised to carry out work on faults or repairs. The cost will be refunded on submission of a valid VAT receipt. For faults and repairs in the first instance call Carefree Motorhomes who will organise and coordinate assistance. Carefree Motorhomes is not responsible for any consequential expenses or additional costs incurred un hiring alternative vehicles, late arrival, missed ferries, accommodation, travel expenses or any third party claims in connection with a breakdown or accident. Calling out breakdown services are very expensive please be aware that you will be charged in circumstances where the incident is the result of your negligence i.e. running out of fuel, wrong fuel, locking keys inside vehicle, loosing keys.
Cancellations
Cancellations must be in writing and are charged as follows:
The booking deposit is not refundable. All payments up to 31 days prior to the hire are not refundable except for the £950 damage deposit which is refunded in full provided no other sums are unpaid by way of deposit or otherwise. The Company reserves the right to cancel the hire if at the commencement of the hire if the driver’s licence(s) are invalid or not in accordance with the conditions set out above. In these circumstances the total hire charge will be forfeited. Carefree Motorhomes reserve the right to refuse hire to any person without explanation or prior warning. Hirers are advised to insure against unavoidable cancellation.
Vehicle collection and return
Vehicle hire is available any day excluding Sunday (unless otherwise agreed) and vehicles are available for collection between 3.00pm and 6.00p.m. and must be returned between 8.00 and 11.00a.m. unless arranged otherwise and confirmed in writing. Failing to comply with these times will result in the Hirer being surcharged at the rate of £50 per hour or any part thereof together with any additional costs incurred by the Company (e.g. compensation to the next Hirer). No refund is given for an early return of the vehicle. The Hirer acknowledges delivery of the vehicle and the contents free from any defect or damage and complete other than as specified by the Company at the commencement of hire. The Hirer is advised to check the vehicle thoroughly before leaving the Company’s premises. The breakdown or malfunction of equipment after the vehicle has left the premises will not be accepted as reason to abort or cancel the Motorhome Rental Agreement, any such fault will be rectified as soon as possible. Upon return the Company’s representative will check the vehicle for damage, cleanliness, fuel, condition of the tyres, windscreen, bumpers, rooflights, mirrors, doors and internal habitation equipment. Carefree Motorhomes will make a charge of £50 for the cleaning of unemptied toilets and £50 for the cleaning of stained upholstery. A £25 charge will be made for a very dirty interior or exterior. Smoking and pets are not permitted and a £50 cleaning charge will be payable if this has been ignored. You will collect a thoroughly clean motorhome and we need to be able to prepare it to the same standard for the next customer.
Fuel, oil and gas
A full tank of fuel is supplied with the vehicle at the commencement of hire and the Hirer is expected to return the vehicle with a full tank of fuel. Any fuel shortage will be charged to the Hirer. The Hirer will be liable if the incorrect fuel type is used. The Hirer is responsible for the regular checking of oil and water levels and the use of the correct type of fluids. Two gas cylinders are provided at the time of hire at least one is completely full. The cost of any refills thereafter shall be the responsibility of the Hirer who shall ensure that two bottles of the same size and make as taken out are returned with the vehicle. A charge of £25 for each empty bottle returned with the vehicle.
Availability
Every effort is made to ensure that the vehicle reserved is available, if due to circumstances beyond the Company’s control the reserved vehicle is not available the Company reserves the right to offer a suitable alternative this may be of similar size or larger . If this is offered there will be no increase in the tariff charged. If an alternative is not available the liability of the Company will be limited to the refund of any monies paid by the Hirer.
Liabilities
The Hirer shall be responsible for all costs and offences incurred because of offences against the Road Traffic Acts and /or regulations thereunder. The Hirer shall ensure that the driver and all passengers required by law to do so shall when the vehicle is being driven wear the seat belts provided. The Hirer will be responsible for Carefree Motorhomes uninsured losses regarding an insurance claim. Carefree Motorhomes accept no liabilities for replacement vehicle costs, travel or accommodation costs or any other consequential loss claims arising from motorhome breakdown or accident. The motorhome is under the care of the Hirer who is responsible for the security and condition of the motorhome throughout the hire period.
Animals
The general rule is that no animals, other than guide dogs. Exceptions may be possible subject to vehicle availability and this must be discussed and arranged with the Company at the time of reservation.
Inventory
A full inventory will be supplied with the Motorhome Booking Agreement. Included in every hire: all cooking and eating equipment and outdoor folding tables and chairs are provided. All customers have to bring is bedding; usually bottom sheets, duvets and towels.

Safety
All our motorhomes are fitted with belted seats to match the number of available berths. Some motorhome layouts have more berths than belted seats or side facing seats where belts are not fitted. For safety reasons we disregard the additional capacity that these layouts provide and limit the capacity to the number of berths or the number of belted seats whichever is the lower figure. It is always the driver’s responsibility to travel passengers safely within a vehicle.
All children under the age of 12 must be restrained in a suitable car seat until they reach the height of 135 cms. This means baby seats for children weighing up to 13 kgs., child seats for children between 9–18 kgs., booster seats for children between 12–25 kgs. and a booster cushion for children aged six and over. The rules are the same as for travelling in cars and they must be belted at all times whilst travelling.
It is illegal to exceed the gross mass of the vehicle which is the sum of the mass of the vehicle, the mass of the passengers and the payload. The maximum payload including passengers is shown in the description of the models. A fire extinguisher and fire blanket is also fitted to all our motorhomes. You must turn off the gas at the bottle before travelling and are advised to bring your own first aid kit in the event of any minor accidents.
Water
Our motorhomes have an on-board fresh water tank, approximately 120 litres the tank is full upon collection and will last between two and four days before refilling. Gauges on board will indicate when you are running low and you can fill up at sites or garages. A hose is provided. A grey water waste tank is also on-board and needs to be emptied when you fill up with fresh water. Both tanks have a similar capacity. The toilet has a separate cartridge tank which must be emptied into an appropriate chemical disposal point or WC. A formaldehyde based fluid or “green” fluid must be added to the cassette when it has been emptied. The fluid is a de-odoriser and does not adversely affect sewage systems. A bottle of fluid is supplied upon collection.
Claims
These Terms and Conditions of contract are governed in all respects by English Law and the Parties submit to the jurisdiction of the English Courts. Carefree Motorhomes reserves the right to vary rates and conditions at any time.
Additional Information
Easy to Drive
All our motorhome hire vehicles are based on the right hand drive Fiat Ducato or Ford Chassis. They have power steering and a 5 speed manual gearbox. The gear lever is a stubby stick conveniently positioned on the dash. The first thing you notice though is the high driving position which gives you every opportunity to be able to anticipate road conditions ahead; to judge bends and braking more easily. There is plenty of height and recline adjustment to the seat and you generally adopt a more upright and relaxed driving position.
You are bigger than a car and need to move out a little to the middle of the road to avoid overhanging trees on the nearside and move over a bit more to avoid the odd cyclist and car when overtaking. Take a bigger swing when manoeuvring but you will be surprised at the turning circle which beats some 4x4's. Reversing is always best done with a passenger on the ground or for you to get out and make your own check before starting.
Keep your speed steady until you gain confidence and remember relax you are on holiday. Car transporters create dirty air when they overtake on the motorway and they are the worst but just keep a steady line and let them pass by.
Your mirrors become your best friend they are big and you should check they are correctly positioned to allow you to scan them easily to spot fast approaching traffic. Motorhomes have limited through-vision and some none at all so you soon start to rely on the mirrors.
Motorhomes hires are easy to drive but different to a car, Take things at a steadier pace and try to anticipate braking and cornering to make the journey more comfortable and reduce the number of complaints from the navigators. Finally remember all handbrakes are on the right hand side.
Traffic Rules
Road signs are usually the standard international signs. Buy a 'Highway Code' for about £1. This is essential for driving your motor home hire in Britain. Many shops (including those at airports) sell it.Traffic roundabouts are unique to roads in Britain, traffic coming from the right has priority and you only may overtake other vehicles on the right.
Make sure that you understand parking restrictions, and what 'double yellow lines' and 'single yellow lines' mean.
The speed limits for our motorhomes are not the same as cars. Motorhomes over 3500 kgs have some minor restrictions. 70 mph is the maximum on motorways but on dual carriageways the maximum is restricted to 60 mph and to 50 mph on single carriageways, unless there signs which display specific speed restrictions. Beware there has been an increase in the number of speed camera used on major roads and motorways.
Roads
There is a good motorway network. Motorways are shown by 'M' plus the number. Other main roads or trunk roads are shown by ‘A’ plus the number. There is no 'toll charge' to pay on British motorways, except the M4 Severn Bridge into Wales, the Humber Bridge near Hull, the M25 Dartford Tunnel and the M6 near Birmingham.
All motorways have emergency telephones every kilometre. There are markers every tenth of a Km. which also point to the nearest phone. The phone operator will obtain help or phone Carefree Motorhomes. Park as close to the edge of the 'hard shoulder' as possible. It is safer to wait outside the motorhome, on the grass banks as far away from the traffic lanes as possible.You must not stop on a motorway, except in an emergency.
Small coastal and country roads get congested during the holiday periods and you have to be more aware of narrow bridges and roadside hedges as the motorhome is wider than a normal car. Use on non metalled roads is not permitted. Also beware low bridges or anything where access is restricted to 10 feet high or 6 feet 6 inches wide. You are too big.
Parking
Parking your motorhome hire in the centre of most big towns is difficult and best avoided. Motorhomes cannot be parked in multi-storey car parks. Parking in central London is very difficult if not impossible, as you have to find available street parking.
There is also a congestion charge for vehicles entering central London. We suggest that you do not even attempt to travel round London but park on the outskirts and use public transport.
The most convenient place to park are large supermarkets and railway stations as they are well signposted, generally they have easy access and are within walking distance of town centres. Car park areas have a large 'P' sign on a blue background. Aim for those but be aware some have height restrictions and you cannot get your motorhome hire vehicle into anything less than 10 feet.
Choosing pitches
It is generally recommended to use hard standing when available. The motorhomes are front wheel drive and easily loose grip on wet grass and if the ground is soft you might find you will sink in a little. We have strips of plywood and leveling blocks, please just ask if you think you will need them.
Planning
If travelling from abroad try to obtain a good quality large scale road map before you collect the motorhome hire. You will need a scale of 3 miles to 1 inch/2 kilometres to 1 cm. Also try to obtain other advice about road travel in Britain from a motoring organisation in your country. It is worth booking the first night camp site in advance and choosing somewhere close to us if you have already had a long journey. We can advise on sites in Newark, close to town or in Sherwood Forest or the Peak District.
Complimentary membership to the Camping and Caravan Club is offered and provides a discount on site fees and good range of national campsites.
“Wild camping” is not strictly legal as technically you should always seek the landowners permission to stay overnight but as long as you are not blocking a gateway or causing a nuisance we have stayed at some great rest areas, viewpoints or beach areas without problem.
Overnight halts are allowed in Motorway service areas in the heavy goods vehicle but it can be noisy at all hours. Fire regulations do not permit use of gas appliances. A cost quoted for Moto service areas, ranges from £5-£10 per night and sometimes includes breakfast vouchers. Welcome Break and Road Chef do not publish their charges.
Fridge
The fridge operates on gas, 12 volt or 240 volt. The 12 volt feed is only available when the engine is running and current is supplied directly from the alternator. Once on site if you are hooked up to mains switch to 240 volt supply if you are on a site with no mains hook up or parked during your journey switch to gas. If you are planning a long trip on a ferry you will not be able to power the fridge but for a one or two hour crossing the high level of insulation of the fridge will keep the contents cool.

The rental agreement is between you and the supplier and we will not be liable to you or to any third party in relation to the terms of the supplier’s rental agreement or any other documentation provided to you by the supplier at the time of pick up.
While we will make reasonable efforts to ensure we are representing only reputable suppliers, we make no warranty about the fitness or suitability of any third party (supplier) product or service and will not accept responsibility for the quality or fitness of any vehicle. We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.
Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.
Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.75% credit card charge will be added when your payment is processed.
A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.
If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.
Information disclosure
In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.
Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Car rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 25.00
To add or remove extras to/from a confirmed booking: 10.00
Motorhome rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 75.00
To add or remove extras to/from confirmed booking: 20.00
The alteration fee will not be charged if your alteration request is not possible.
Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.
Carefree Motorhomes insurance
International Drivers licence holders Insurance, Breakdown and repatriation cover is available at a cost of £12.50 per day.
UK Drivers Insurance breakdown and repatriation cover is also available at a cost of £12.00 per day.

Birmingham Airport depot
Birmingham Airport is a serviced non depot location. Office hours:
Monday - Sunday 8am - 6pm
Vehicle Pick up Times:
Pick up time 3.00pm-6pm
Return time 8.00am-10.00am
We are flexible and can usually vary these times by prior arrangement only. Please advise the Supplier on the details above if you would like to arrange a specific time outside these hours.
Late Returns:
Failing to comply with these times will result in the Hirer being surcharged at the rate of £50 per hour or any part thereof together with any additional costs incurred by the Company (e.g. compensation to the next Hirer).
Early Returns:
No refund is given for an early return of the vehicle.
Railway Station Pick Up
Carefree Motorhomes has free collection from Newark northgate railway station. Please contact our reservations department in the first instance on the details provided on your confirmation invoice for specific details. Lincoln Railway station cost - £50 each way. Grantham Railway station cost - £45 each way. Leicester Railway station cost £50 each way. Nottingham Railway station cost - £50 each way.
Airport Pick Up
Transfer charges from airports to our depot are as follows Stansted £120, Birmingham £85, Nottingham East Midlands £65, Manchester £120, and Heathrow £150.
Please note: You must contact us to provide the correct shuttle service for the above costs - do not catch a taxi at the airports as the service and charges are not within our control. Collection and Return
Vehicle hire is available 7 days a week and vehicles are available for collection between 3.00pm and 6.00p.m. and must be returned between 8.00am and 11.00a.m. unless arranged otherwise and confirmed in writing. Failing to comply with these times will result in the Hirer being surcharged at the rate of £50 per hour or any part thereof together with any additional costs incurred by the Company (e.g. compensation to the next Hirer). No refund is given for an early return of the vehicle. The Hirer acknowledges delivery of the vehicle and the contents free from any defect or damage and complete other than as specified by the Company at the commencement of hire. The Hirer is advised to check the vehicle thoroughly before leaving the Company’s premises. The breakdown or malfunction of equipment after the vehicle has left the premises will not be accepted as reason to abort or cancel the Motorhome Rental Agreement, any such fault will be rectified as soon as possible. Upon return the Company’s representative will check the vehicle for damage, cleanliness, fuel, condition of the tyres, windscreen, bumpers, rooflights, mirrors, doors and internal habitation equipment. Carefree Motorhomes will make a charge of £50 for the cleaning of unemptied toilets and £50 for the cleaning of stained upholstery. A £25 charge will be made for a very dirty interior or exterior. Smoking and pets are not permitted and a £50 cleaning charge will be payable if this has been ignored. You will collect a thoroughly clean motorhome and we need to be able to prepare it to the same standard for the next customer.
